1. About AutoAgent AI
AutoAgent AI LLC (“AutoAgent,” “we,” “us,” or “our”) provides an AI-powered business platform that helps businesses manage customer communications, websites, appointments, customer relationships, transactions, documents, electronic signatures, automation, analytics, artificial intelligence, and other business operations.
Depending on the services a business enables, AutoAgent may process communications received through websites, web chat, SMS, telephone, AI assistants, forms, electronic documents, electronic signature workflows, and connected third-party services.
This Privacy Policy explains how personal information is collected, used, disclosed, stored, and otherwise processed through the AutoAgent platform, our websites, and websites and services operated using AutoAgent technology.
2. Who This Privacy Policy Covers
AutoAgent Customers and Users
These include businesses, business owners, employees, contractors, administrators, and other authorized users who subscribe to or use AutoAgent directly.
For information relating to AutoAgent accounts, subscriptions, billing, administration, security, and our direct relationship with those users, AutoAgent generally determines the purposes for which personal information is processed.
Customers and Contacts of Businesses Using AutoAgent
These include individuals who call, text, chat with, submit a form to, purchase from, book with, sign a document for, or otherwise communicate with a business using AutoAgent.
For much of this information, the business using AutoAgent determines why the information is collected and how it will be used, while AutoAgent processes the information to provide services to that business.
Where applicable privacy laws use terms such as “controller,” “business,” “processor,” or “service provider,” AutoAgent’s role may depend on the circumstances and applicable law.
3. Personal Information We Collect
The information we collect or process depends on how AutoAgent is used and which features have been enabled.
Information From Businesses Using AutoAgent
- Names and contact information;
- Email addresses and telephone numbers;
- Business names, addresses, industries, and business profile information;
- Employee and authorized-user information;
- Account credentials and authentication information;
- Platform configuration and preferences;
- Subscription and billing information;
- Communications with AutoAgent support;
- Connected-service configuration;
- Website, domain, product, inventory, service, document, and operational information entered into the platform; and
- Logs relating to account access, security, and use of the platform.
Payment processing may be performed by Stripe. AutoAgent does not intentionally store complete payment-card numbers. We may receive and retain payment-provider identifiers and limited payment information, such as card brand, expiration information, and the last four digits of a payment card where provided by the payment processor.
Information From Individuals Interacting With an AutoAgent-Powered Business
- Names;
- Telephone numbers;
- Email addresses;
- Web-chat messages;
- SMS and other electronic messages;
- Telephone-call content, recordings, and transcripts where applicable;
- Appointment and reservation information;
- Customer enquiries and requests;
- Orders and transaction information;
- Delivery and billing addresses;
- Customer notes;
- Information entered into forms;
- Electronic documents and signed documents;
- Electronic signatures and related signing records;
- Custom fields configured by the business; and
- Other information voluntarily supplied during a communication or transaction.
The exact information collected can vary substantially by industry. For example, a business may configure AutoAgent to store information concerning a vehicle, property, pet, service request, product preference, transaction, agreement, or other information relevant to its operations.
Businesses using AutoAgent are responsible for configuring their collection practices appropriately and avoiding the collection of personal information they do not reasonably need.
Website and Analytics Information
- Pages viewed;
- Referring website;
- Device or browser category;
- General request information; and
- Information used to distinguish visits for traffic measurement.
Where AutoAgent’s privacy-preserving analytics configuration is used, AutoAgent does not set an analytics cookie solely for visitor counting.
A temporary identifier may be derived from technical information such as an IP address and browser user-agent using a value that changes periodically. The purpose of this mechanism is aggregate traffic measurement rather than building persistent profiles of individual visitors.
Other features enabled by a business—including advertising, embedded content, third-party integrations, or conversion tracking—may use cookies, pixels, or similar technologies.
Where required by applicable law, appropriate notice or consent mechanisms may be provided.
4. Electronic Signatures and Signed Documents
AutoAgent may provide functionality that allows businesses and their customers to prepare, send, receive, review, electronically sign, complete, and store agreements, forms, disclosures, acknowledgments, and other documents.
When electronic signature features are used, AutoAgent may process and store information associated with the signing process, which may include:
- The document being prepared, sent, reviewed, or signed;
- The signer’s name and contact information;
- The electronic signature or signature representation;
- The date and time of signing or other signing events;
- The status and history of the document;
- Information identifying the business and users involved in the transaction;
- Document identifiers, versions, hashes, or similar integrity information;
- Technical information such as IP address, browser, device, or user-agent information where captured;
- Authentication or verification information where used; and
- Audit-trail information associated with document creation, delivery, viewing, signing, completion, or storage.
Signed documents and associated records may be stored through AutoAgent on behalf of the applicable business as part of that business’s records.
The business using AutoAgent generally determines why the document is being created or signed and how the information within it will be used. AutoAgent processes that information to provide the electronic document and signature functionality requested by the business.
Businesses are responsible for ensuring they have an appropriate legal basis to collect information contained in documents and to request or obtain electronic signatures.
5. Telephone Calls, AI Voice, Transcription and Recording
Businesses may use AutoAgent to receive, route, transcribe, analyze, record, or respond to telephone calls.
When these features are enabled, telephone communications may be converted to text so that an AI assistant can understand and respond to a caller. Call content, recordings, transcripts, metadata, summaries, and related customer records may be retained depending on the business’s configuration.
Laws governing call recording, monitoring, transcription, and AI-assisted telephone calls vary by jurisdiction.
Businesses using AutoAgent are responsible for ensuring that their use of telephone functionality complies with applicable laws, including providing legally required notices and obtaining legally required consent.
AutoAgent may provide functionality that allows or requires businesses to play disclosures or announcements concerning recording, transcription, monitoring, or the use of artificial intelligence.
If you do not wish to continue a recorded or AI-assisted telephone interaction, you may end the call and contact the applicable business through another available method.
6. Artificial Intelligence
Artificial intelligence is a core component of the AutoAgent service.
Information submitted through AutoAgent may be processed by third-party artificial-intelligence providers to understand requests, generate responses, summarize conversations, assist businesses, automate workflows, analyze information, or provide other AI-powered functionality.
Depending on the feature, configuration, availability, and model selected, providers may include:
- Anthropic, including Claude models;
- OpenAI, including GPT models; and
- xAI, including Grok models.
AutoAgent seeks to transmit only information reasonably necessary to perform the relevant AI operation.
We use commercial and API-based AI services intended for business use. Data handling by third-party AI providers is also subject to our agreements with those providers and their applicable privacy, security, and data-processing terms.
Businesses should avoid intentionally submitting unnecessary sensitive personal information through AI functionality.
AI-generated information may contain errors or inaccuracies. Businesses remain responsible for reviewing AI-generated output where human review is appropriate.
7. AI Voice and Voice Synthesis
AutoAgent may provide AI-generated voice capabilities.
Where configured by a business, synthetic speech may be generated using ElevenLabs or another supported voice technology provider.
Businesses may also be able to configure authorized custom or cloned voices for use by their AI assistants.
A business using a custom or cloned voice is responsible for having all rights, permissions, and legally required consents necessary to provide and use the applicable voice recording.
AutoAgent may not be used to impersonate another person deceptively or to create or use an unauthorized digital replica of another person’s voice.
8. How We Use Personal Information
- Provide, operate, maintain, and improve the AutoAgent platform;
- Authenticate users and administer accounts;
- Answer telephone calls, messages, chats, and enquiries;
- Generate AI-assisted responses;
- Create summaries, customer records, and follow-up actions;
- Schedule and confirm appointments;
- Create, send, sign, store, and manage electronic documents;
- Maintain signing records and audit trails;
- Process or facilitate transactions;
- Fulfil orders and service requests;
- Maintain customer and CRM records;
- Send communications configured or requested by a business;
- Operate websites, forms, and online services;
- Provide analytics and reporting;
- Personalize configured business workflows;
- Improve the reliability, security, and functionality of the service;
- Detect abuse, fraud, unauthorized activity, and security threats;
- Provide technical and customer support;
- Administer subscriptions and billing;
- Comply with applicable legal obligations;
- Establish, exercise, or defend legal claims; and
- Perform other functions disclosed at the time information is collected.
Where required by applicable law, processing will rely on an appropriate legal basis, such as consent, contractual necessity, compliance with legal obligations, legitimate interests, or another basis recognized by applicable law.
9. Sale, Sharing and Advertising
AutoAgent does not sell personal information for monetary compensation.
AutoAgent does not use one customer’s confidential business or customer information to provide another customer with that information.
A business may choose to enable advertising, analytics, or conversion integrations, including services provided by companies such as Google or Meta.
When such integrations are enabled, certain information may be transmitted to the applicable provider to provide the requested functionality.
Businesses enabling advertising or tracking functionality are responsible for configuring those services appropriately and providing any notices, consent mechanisms, or opt-out rights required by applicable law.
10. Service Providers and Other Recipients
- Amazon Web Services (AWS) — infrastructure, hosting, storage, and document storage;
- Stripe — payment processing and subscription billing;
- Twilio — telephone and SMS services;
- Anthropic — artificial-intelligence processing;
- OpenAI — artificial-intelligence processing;
- xAI — artificial-intelligence processing;
- ElevenLabs — voice synthesis;
- Google — calendar and other integrations when connected by a business;
- Meta — advertising and conversion services when configured by a business; and
- Other vendors and subprocessors necessary to provide functionality requested by a business.
We may also disclose information when reasonably necessary to:
- Comply with applicable laws or regulations;
- Respond to valid subpoenas, court orders, warrants, or lawful governmental requests;
- Investigate fraud, abuse, or security incidents;
- Enforce our agreements and policies;
- Protect the rights, property, safety, and security of AutoAgent, our customers, users, or others; or
- Complete or evaluate a merger, financing, acquisition, reorganization, sale of assets, or similar corporate transaction.
Service providers are expected to receive personal information only as reasonably necessary to perform the services for which they are engaged and subject to applicable contractual restrictions.
11. International and Cross-Border Processing
AutoAgent is operated by AutoAgent AI LLC, a United States company headquartered in Irvine, California, and may provide services to businesses in Canada, the United States, and other jurisdictions.
AutoAgent’s primary application data, uploaded media, and documents may be stored using Amazon Web Services infrastructure located in Canada.
Some service providers—including artificial-intelligence, telecommunications, payment, analytics, and integration providers—may process information in the United States, Canada, or other countries.
As a result, personal information may be transferred outside the province, state, or country in which it was originally collected.
Information processed in another jurisdiction may be subject to the laws of that jurisdiction and may be accessible to courts, law-enforcement authorities, regulators, or government agencies where permitted by applicable law.
Where required by law, AutoAgent uses appropriate contractual, organizational, technical, or other safeguards relating to cross-border processing.
12. Data Retention
AutoAgent retains personal information for as long as reasonably necessary to provide the service, fulfil the purposes for which it was collected, maintain legitimate business and legal records, resolve disputes, enforce agreements, and comply with applicable legal obligations.
Account, conversation, appointment, customer, transaction, document, electronic-signature, and related business records may remain in the platform while the applicable business account remains active.
Following account termination or deletion, some information may continue to be retained where reasonably necessary for backup, security, fraud prevention, legal, tax, accounting, dispute-resolution, regulatory, evidence, or other legitimate purposes.
Information may also remain temporarily in backups and disaster-recovery systems until those backups are overwritten or expire in accordance with applicable operational procedures.
When information is no longer reasonably required, AutoAgent may delete, anonymize, aggregate, or otherwise de-identify it, subject to applicable law and technical requirements.
13. Privacy Rights and Requests
Privacy rights vary depending on where an individual lives.
Subject to applicable law, individuals may have rights to:
- Request access to personal information;
- Request correction of inaccurate information;
- Request deletion of certain personal information;
- Obtain a portable copy of certain information;
- Withdraw consent where processing depends on consent;
- Object to or restrict certain processing;
- Opt out of certain uses or disclosures;
- Obtain information concerning categories of personal information and recipients; and
- Submit a complaint to an applicable privacy or data-protection authority.

The business with which you interacted will ordinarily be the appropriate first point of contact for requests concerning its customer records, documents, and electronic-signature records.

14. Security
AutoAgent uses administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.
These safeguards may include:
- TLS encryption for data transmitted over supported network connections;
- Authentication and authorization controls;
- Restricted administrative access;
- Infrastructure and application monitoring;
- Logging and security controls;
- Customer and account access controls;
- Document and signature audit records where applicable;
- Backup and recovery procedures; and
- Use of specialized payment processors so complete payment-card information does not need to be stored by AutoAgent.
No internet-connected service, transmission method, or storage system can guarantee absolute security.
If AutoAgent becomes aware of a security incident involving personal information, we will investigate the incident and provide notifications where required by applicable law.
15. Business Responsibilities
Businesses using AutoAgent are responsible for their own compliance with applicable privacy, communications, consumer-protection, employment, advertising, recording, electronic-signature, contract, and industry-specific laws.
Depending on their activities and jurisdiction, these responsibilities may include:
- Providing appropriate privacy notices;
- Establishing a lawful basis for collecting and processing information;
- Obtaining required consent;
- Obtaining electronic-signature consent where required;
- Ensuring documents are legally appropriate for electronic execution;
- Providing required disclosures before electronic signing;
- Providing call-recording, transcription, or AI disclosures;
- Complying with SMS and electronic-marketing requirements;
- Responding to customer privacy requests;
- Configuring data collection and retention appropriately;
- Protecting account credentials;
- Obtaining permission for custom or cloned voices;
- Configuring advertising and tracking technologies lawfully; and
- Avoiding the unnecessary collection of sensitive personal information.
Nothing in this section limits responsibilities that applicable law independently places on AutoAgent.
16. SMS and Electronic Communications
Businesses may use AutoAgent to send transactional, appointment, customer-service, follow-up, notification, document-signing, or marketing communications.
Businesses are responsible for obtaining consent where required and complying with applicable telecommunications, anti-spam, and electronic-marketing requirements.
Recipients may be provided with methods to withdraw consent or opt out of marketing communications where required.
For SMS communications, recipients may be able to reply STOP to opt out of applicable future messages.
Transactional or service-related communications, including certain document and signing notifications, may continue where legally permitted and reasonably necessary to provide a service requested by the recipient.
Message and data rates imposed by a recipient’s mobile carrier may apply.
17. Sensitive Personal Information
Businesses should avoid collecting sensitive personal information through AutoAgent unless it is reasonably necessary for their operations and they have an appropriate legal basis for doing so.
Depending on the jurisdiction, sensitive information may include health information, government identifiers, financial information, biometric information, precise geolocation, information concerning children, and other specially protected categories of information.
AutoAgent may impose additional restrictions on the collection or processing of sensitive information.
AutoAgent is not intended to replace specialized regulated systems unless AutoAgent has expressly agreed in writing to support the applicable regulatory requirements.
18. Children’s Privacy
AutoAgent is a business platform and is not designed or directed primarily to children.
We do not knowingly solicit personal information directly from children under 16 through AutoAgent’s own services.
Businesses using AutoAgent are responsible for complying with applicable children’s privacy requirements if their products or services are directed toward children or if they collect children’s personal information.
If we learn that personal information has been collected directly by AutoAgent in violation of applicable children’s privacy law, we will take reasonable steps to investigate and address the matter.

19. Automated Decision-Making
AutoAgent uses artificial intelligence and automation to generate communications, summaries, recommendations, classifications, insights, and workflow actions.
AI-generated information may be incomplete, inaccurate, or inappropriate for a particular situation.
Businesses remain responsible for reviewing AI-generated output where human review is appropriate, particularly where a decision may materially affect an individual.
AutoAgent should not be used to make decisions producing significant legal or similarly significant effects on an individual without appropriate human oversight and compliance with applicable law.
Where applicable law provides rights relating to automated decision-making, those rights will be respected as required.
20. Third-Party Integrations
Businesses may connect AutoAgent to third-party applications and services.
When a business enables an integration, information may be exchanged with that provider as reasonably necessary to perform the requested functionality.
The business’s use of a third-party service is also subject to the third party’s own agreements, terms, security practices, and privacy policies.
Disconnecting an integration generally prevents future access through that connection but does not necessarily delete information previously transferred to the third-party provider.
21. Business Websites Powered by AutoAgent
AutoAgent may provide website-building, website-hosting, e-commerce, inventory, catalogue, lead-generation, appointment, chat, document, and other online functionality to businesses.
When an individual interacts with a website powered by AutoAgent, information submitted through forms, chats, purchases, appointment requests, enquiries, documents, electronic signatures, or other features may be provided to the business operating that website and processed through AutoAgent on that business’s behalf.
The applicable business may have its own privacy policy describing additional ways it collects and uses personal information.
Where there is a difference between AutoAgent’s role and the business’s own collection practices, individuals should review the privacy policy of the business with which they are interacting.
22. Changes to This Privacy Policy
We may update this Privacy Policy from time to time as AutoAgent’s services, technologies, business practices, or legal requirements change.
When changes are made, we will update the “Last updated” date at the beginning of this Privacy Policy.
Where required by applicable law or where a change materially affects how account-holder personal information is processed, we may provide additional notice through the AutoAgent service, by email, or through another appropriate communication method.
Continued use of AutoAgent following an update is subject to applicable law and our then-current terms and policies.
